Birds of a Feather Frequently Asked Questions

What are the criteria for a Birds of a Feather event?
Birds of a Feather events must be:

  • Free of charge
  • Related to computer graphics or interactive techniques
  • Non-commercial in nature (topics specific to one commercial product or company are not allowed)
  • Open to attendees in all SIGGRAPH 2015 registration categories except Exhibits and Exhibits Plus 

All Birds of a Feather requests will be evaluated on a case-by-case basis to be sure they conform to these requirements. 

What meeting space is available?
SIGGRAPH 2015 official hotels and the Los Angeles Convention Center have meeting space available on a first-come, first-served basis. Below is a list of venues where Birds of a Feather Sessions can be held:

  • JW Marriott Hotel
  • Luxe City Center Hotel
  • Omni Los Angeles
  • The Westin Bonaventure
  • Millennium Biltmore
  • Figueroa Hotel
  • Sheraton Los Angeles
  • LA Hotel Downtown 
  • Hilton Checkers
  • The Standard LA Downtown
  • The Los Angeles Convention Center

Is there a maximum capacity in the Birds of a Feather rooms? 
One room at the Los Angeles Convention Center seats up to 200 people (theatre style). If your session is expected to exceed that, please choose a hotel location.  The other Birds of a Feather rooms at the convention center seat up to 100 people (theater style).  Attendance cannot exceed capacity.  Any Birds of a Feather session that exceeds seating capacity could be closed by the Los Angeles Fire Marshall.

If a session organizer chooses a hotel, SIGGRAPH Conference Management will assign a meeting room based on the expected attendance. 

How do I request space for a Birds of a Feather event?
Submit a Birds of a Feather Session Request through the SIGGRAPH Information System no later than 24 July 2015.  Make sure all the information on your submission is accurate and up to date. Missing information may delay processing of your request. Do not contact the hotels or the convention center prior to receiving confirmation from SIGGRAPH 2015 Conference Management. Venues cannot assign meeting space or confirm details until approval is received from Conference Management.

What if I want to organize more than one Birds of a Feather?
No problem. Submit a separate online request form for each event. 

Is there a time restriction for Birds of a Feather sessions?
Birds of a Feather sessions can be no longer than three hours including set up and teardown. Organizers of longer events, or those who submit multiple requests for the same day for more than three hours should consider becoming a co-located conference.

Is there a time frame for Birds of a Feather sessions?
Birds of a Feather sessions can not continuue past 6 pm at the convention center. There is no time restriction for sessions assigned to hotels. Important reminder: The Keynote Session is on Monday, 10 August, 11 am to 12:45 pm. Please do not schedule Birds of a Feather sessions during that time frame.

What are the costs for organizing a Birds of a Feather event?
Meeting space in the convention center is complimentary, but limited.  Some hotels may charge a space rental fee and/or a setup fee. They may also require a minimum purchase of of food and beverages. Based on your submission, SIGGRAPH 2015 Conference Management will let you know if there could be a fee prior to confirming your space request. Payment for services, food and beverage, audio/visual, etc. is the responsibility of the Birds of a Feather organizer.  No charges are covered by SIGGRAPH 2015. 

Is audio/visual technology complimentary in my Birds of a Feather meeting room?
There is a charge for audio/visual at the convention center and hotels. SIGGRAPH 2015 offers the opportunity to purchase a basic preset audio/visual package in one Los Angeles Convention Center meeting room for a fee. Space is limited and is on a first-come, first-served basis. See below for more information regarding the preset audio/visual package. Audio/visual technology in all other meeting rooms in the convention center and hotels will be the responsibility of the organizer.. 

What is included with the preset audio/visual package, and how do I request that Birds of a Feather room? 
The preset package price is $250 for two hours and $300 for three hours (maximum). Pre-payment is required to request the preset audio/visual BOF room. 

  • The preset audio/visual package includes:
  • One screen
  • One LCD projector
  • One lectern microphone

Additional audio/visual technology may be ordered and paid for separately, if needed. Payment must be made via this online form.  Organizers will be given a confirmation code to be entered on the Birds of a Feather submission form to verify payment. Requests are confirmed on a first-come, first-served basis.

What is the cancellation policy for the preset audio/visual room?
Once approved, cancellations dated on or before Friday, 24 July, incur a $75 cancellation fee. After that time, no refunds will be issued.

What if my Birds of a Feather session is not approved and I pre-paid for audio/visual technology? 
SIGGRAPH 2015 will refund the full amount if the session does not fit the criteria or space is not available.

How do I order audio/visual technology for any other Birds of a Feather room? 
Contact Freeman AV for additional audio/visual equipment. For Birds of a Feather sessions held in hotels, you can work with the hotel contact provided or order through Freeman AV.

Am I able to record or videotape my Birds of a Feather session?
Yes, Audio and video recording is permitted as long as the organizer or speaker advises attendees prior to the session, and the recording cost is paid by the organizer.

Will I receive a confirmation? 
If your request is approved, you will receive an email acknowledgement within two weeks, plus contact information for food and beverage and audio/visual needs. Sessions located in hotels will also receive a confirmed room assignment at that time. For sessions held in the convention center, room assignments will not be confirmed until the week of 22 June. Organizers who request the preset audio/visual room in the convention center will be notified of availability with the approval email. All rooms in the convention center will be set theater style. Due to the number of Birds of a Feather sessions that need to be accommodated in the convention center, room sets cannot be changed.   

Where will my Birds of a Feather event information be published?
Birds of a Feather event information may be published in:

  • SIGGRAPH 2015 web site (posted after official email confirmation)
  • SIGGRAPH 2015 Conference Locator (distributed at SIGGRAPH 2015)
  • SIGGRAPH 2015 mobile app 

All Birds of a Feather sessions will be published on the SIGGRAPH 2015 web site and the mobile app leading up to and during the conference.

Birds of a Feather Meeting Space Request forms must be received by 6 July 2015 to be published in the Conference Locator.  No changes will be accepted after this deadline has passed.

Can I publish a Birds of a Feather event that is not at an official SIGGRAPH 2015 hotel or the convention center?
No. All published Birds of a Feather events must be held in one of the official hotels or the Los Angeles Convention Center. Events in other locations will not be advertised in any SIGGRAPH 2015 conference materials.

What are the ASCAP/BMI licensing fees mentioned on the Birds of a Feather Meeting Space Request?
ASCAP and BMI are membership associations of US composers, songwriters, and publishers of every kind of music. Whenever music (recorded or live) is played at an event, a license must be purchased from these associations. The license purchase is the responsibility of the organizer and not the venue where the event is to be held. 

I am an exhibitor requesting meeting space. Should I use the Birds of a Feather submission form?
No. As an exhibitor, you are required to complete an exhibitor meeting space form provided by Exhibition Management.
